Timers to track time for multiple activities, projects or tasks

Setup and start using Activity Tracker Plus

“Timer” is a new feature that we integrated into Activity Tracker Plus 4.0. Think of timer as your stop watch or a count-up timer. Using timers you can do the following

  • Track elapsed time since an activity or task took place. You can start a timer and see how long its been in active status. For example, how long its been since I was born? or how long its been since I last watered my plants?. Elapsed time in a timer is always displayed in Years Months Days Hours Minutes format
  • Track hours for multiple activities or tasks.  Unlike the default Toggle view, Timer view will allow more than one activity or task to be in working status at any given time. You have an option to add the elapsed time in a timer to your total working hours in your time logs or monthly summary.

From your activity list page, you can switch between timer view and toggle view using keyboard shortcut  Ctrl + Alt + V or by clicking Menu –> Timer/Toggle View

Managing Active Timers And Timer Logs

You can view all active timers and timer logs from Timers tab under Dashboard. Here you will have option to start a timer, update an active timer, delete active timers or timer logs, add or remove elapsed time in timer logs to your work hours.

Including timer log elapsed time to your work hours

By default, hours in your timer log is not included to your work hours. If you want to include timer log hours to your work hours you have the following options

  1. Go to Timers tab under Dashboard and under timer log section, select all the timer logs to be included or excluded from work hours. If included,  your hours gets added to total hours in your weekly time logs and monthly summary.
  2. Go to activity or task edit screen and select “Yes” for “Add Timer Log Hours To Work Hours By Default?” and save this activity or task settings. Now when you start timer for this activity or task, the timer logs is automatically included to your work hours

Displaying Active Timers On Web Sites

You can set up social links to display all your active timers on your web site or on social media for your friends or clients. Go to Social Links tab under Dashboard and create a new social link

Setting your activity on cruise mode

Do you forget to stop your activities on time? Here is our solution! With our new cruise mode feature you can now auto-stop an activity after any period of time. In the Activity edit screen just set the interval after which the activity should stop and you are good to go! So even if you forget to punch-out, Activity Tracker Plus will automatically punch-out for you.

Steps to set-up cruise mode for an activity

  1. Go to Activity list page –> Click “Manage” on the activity for which you want to set-up auto stop.
  2. Enter the hours and minutes after which you want the activity to be punched-out

 After saving your auto stop hours and minutes, any punch-in on this activity will display an auto stop count down on the menu section of your activity list screen (as shown below). You will have an option to increment or decrement this auto stop time period.

“Activity Tracker Plus” is a free time tracking software that can keep track of all your daily activities. It provides a very simple interface and all you do is punch-in when you start an activity and punch-out when you are done. This gadget will take care of generating your time records or timesheet. Activity Tracker Plus is also very reliable and does not depend on a single platform like iGoogle. So even if iGoogle decides to disable all gadgets, all your data is still saved on your spreadsheet and you can still access them through any other Internet browser. You do not need iGoogle to access your data just use any Internet browser. Activity Tracker Plus is very secure. It uses three keys and optional password to make sure no one can access your data.

Points to note before using Activity Tracker Plus

  1. If you are a previous iGoogle Activity Tracker user, please note that Activity Tracker Plus is NOT compatible with the old Activity Tracker and you will NOT be able to import all your activities. You can continue to send me requests to recover your old data (screeperzone at gmail.com).

I get lots of emails related to Activity Tracker Plus security and data visibility (who can see my data ?) . This blog post is dedicated to answer the following questions. Please feel free to leave your comments and suggestions.

  1. Who all has access to my Activity Tracker Plus web-application ?
  2. How secure is my data that is stored in Google Spreadsheet ?
  3. For Employers : I have setup Activity Tracker Plus for 50 employees using my Google account, can my employee access my Google Spreadsheet data ?
  4. For Employees: Can my employer view my password that I set and other settings ?

Who all has access to my Activity Tracker Plus web-application ?

Activity Tracker Plus application is protected with three keys (Google access Key, Spreadsheet Name, Private Key) and an optional password (can be set from settings tab). A user trying to access your data needs to know all three key information and password (if set). We always recommend you to set your password, as sometimes the three key information is stored in your browser history. When you set your password, there is no way others can access the application. As the password is saved in your Google spreadsheet, any one who is trying to access needs to know your Google account password as-well to get to your Google spreadsheet. So the answer would be, whoever has the three key information and the password can access Activity Tracker Plus web-application (but not the data that is stored in Google Spreadsheet).

We at ScreeperZone do not log or save any of your three key information or password or IP address on our servers. Any server request that you make to access your data needs to have three key information all the time. In fact as you must have noticed, we do not get any of your personal information like your name or email during setup. As your personal identity is hidden from us, we cannot associate any server request to a customer. You may ask, How are we going to support when we don’t have access to your data ?.  We cannot support your data, but as we provide service that accesses this data, we can support only the services and software we provide (like server up-time or availability, issues in the application etc) . That is why we highly recommend you to not tamper with your data in Google spreadsheet. Even if you mistakenly edit your data directly in Google spreadsheet, use Google Spreadsheet revision history to revert those changes.

How secure is my data that is stored in Google Spreadsheet ?

We decided to store data in your Google Spreadsheet so that you have full control of your own data. Again no one has access to your data except you. Your data is protected by your own Google account password.

For Employers : I have setup Activity Tracker Plus for 50 employees using my Google account, can my employee access my Google Spreadsheet data ?

No, employees don’t have access to your Google Spreadsheet data or to your Google account. All employees have access only to Activity Tracker Plus web-application that is set-up for that employee. He/she can only create task, punch-in/out, modify settings or view log information through the web-application.

For Employees: Can my employer view my password that I set and other settings ?

Employer has full access to his own Google Spreadsheet where employees task and time data is stored. Employer cannot view your personal password that you set as the password is encrypted and stored in Google Spreadsheet. Employer can view your IP address from where you punch-in or punch-out and other settings you save in your Google Spreadsheet. I would recommend all employees to set-up Activity Tracker Plus for themselves and see what all data is visible from Google Spreadsheet.

Please Backup your iGoogle ToDo gadget data

As I had mentioned in my previous blog post, I’m currently busy with my new venture (www.smazzle.com)  and hardly had  time to convert the iGoogle ToDo gadget  to a non-inline version.

Google sent me a mail indicating that they are going to stop supporting my iGoogle ToDo gadget within the next 2 months. You can still continue to use it until  Google eventually stops supporting it. You still may have 2 months left in the gadget.  But I strongly advice you to Print your tasks and move to any other version of iGoogle ToDo gadget or you can always checkout my alternative ToDo gadgets - Netvibes version or the Windows Vista version.
